Hi All,
Bit of a work in progress at the mo, but here are some of the key bits of
info about becoming a charity (thanks for the intro bit Tori). This will be
discussed later this evening, but please do have a read ahead of then if
you can.
One thing we do need much better clarity on is why we actually need this
for DART (you'll see this bit is very limited!) and how much of a
difference it would make if we didn't get it - like are we talking all our
funding (unlikely!) or is it a matter of a couple of grants?
Please do bear in mind that there is a fair bit of work involved in this
and it will require and EGM (needs to be called 2 weeks before) to decide
whether to become a charity and then if so, to adopt a new constitution.
After EGM there is then a load of form filling and then we have to wait
either 15 or 30 days depending on which bit of gov.uk info you read for the
application process to conclude.
I will reiterate most of this this evening and we can discuss then so
please avoid a mega discussion via email if poss - though am happy to take
the odd bit of extra info direct to me (I may even have a more updated
version if i get the chance).

We have an update meeting next Wednesday from 6:30pm at our place (48
Mountain House, Tyers St, SE11 5NW).
Things we need to cover:
- fundraising
* progress update for each area and next steps
* issues/risks/barriers
- logistics
* flights, overview of proposed itinerary, any ideas/requests for
things we should do
* cost update overveiw (Emma H)
* When do 'maybes' need to commit to yes/no?
- anything else?
In light of the logistics questions, it would be useful for anyone who is a
'maybe' but interested in coming to DART to be able to attend (and I'd love
it if you were able to become a 'yes'!).

Hi all
Thanks to those of you who came yesterday. It was a productive meeting and
great that people have started thinking about how we'll go about doing the
different bits of fundraising activity.
Thanks particularly to Miriam for taking notes and actions. These will be
circulated shortly.

Thanks for the minutes Miriam.

TL;DR I've provisionally booked some flights. If you don't care about the
details skip to *itinerary* below ▽▽▽.
I've been doing some research over how best to do group bookings for
flights, and out of interest got quote from the BA and American Airlines
groups service expecting it to be far too expensive. The BA one was too
expensive but amazingly American Airlines have given me a quote of £404 per
person. That's cheaper than basically any other price I've found (the
cheapest quote of £337 didn't include bags), and offers flexibility with
numbers, names, even travel dates and cancellation. We also don't need to
pay the full amount until September. Becky, Emma and I are in agreement
that we should bite their hand off for that. I'm happy to share the full
Ts&Cs if you care.
I've provisionally reserved the booking for 16 people (we can cancel down
to 10 free of charge, but potentially costs more to add people later if
prices have gone up), and I need to confirm that by 1 January including
paying a deposit of $100 per ticket. Emma and I will work out the detail of
how the money is going to work over the next few days and let you know.
If anyone has any strong objections please let me know ASAP.

I reckon we'd spend a couple of days in Chicago, then hire a car on Monday
12 Oct and head towards Minneapolis, stopping a few places en-route. With
this itinerary in mind, I propose that we'd drive back to Chicago rather
than fly.

You'll need to make sure you have a passport with a minimum of six months
remaining on it after our trip. If you haven't got this, start planning to
get one!
You'll need to apply for a visa waiver. It costs $14 (about £10). I'll
remind you nearer the time! -

Insurance - you *must* get travel insurance. I've done a quick check and
you should be able to get a decent policy for about £25. There doesn't
appear to be any benefit to doing a group policy.
Drivers. Would you be willing to drive when we're in the USA, and are you
over 25? We'd probably get 7-seat minivan type vehicles. *Please let me
know*.

(probably) night in April
If anyone has any recommendations on venues please can you send them to me?
It needs to be fairy central to make it easy to get to and big enough for
at least 100 people, ideally with a bar! (Bar not essential)

the bits, and to have set up any preliminary things to start the process.
