Sorry for the stream of email, this should be the last one regarding the AGM.

1. Please read attached minutes
2. Action points for WHOLE TEAM and individuals- scan through this so you know what is expected.
For example if we call you out on not giving notice in time because you couldn't be bothered to read the minutes saying what we now expect it's you're own darn fault!
3. Whose job is it to look into buying swords??

Attached are the 2014 AGM Minutes and at the end a summary of points that we decided needed to be discussed at the EGM. Please do give these a read, even if you only skim through and look at bits you're particularly interested in!
If you are unsure of anything or disagree with the way I have reported anything, please let me know and I can consider amending- I was typing as fast as possible on the night but very easily could have missed something vital.

Below please see action that needs to be taken (extracted from the minutes to make it easier from everyone) these include ALL members of the team but I have divided it up to points for individuals as well. If you think you have been allocated a job that shouldn't be yours let me know and we will discuss. Obviously if there are jobs that you think you need to do but haven't been acknowledged you can let me know but by no means have to, the point of the list is to help everyone out and bring a certain open-ness to what we're all doing.

Any volunteers to help teach at practice?

Please read constitution and comment for improvements- to be approved Monday 17th for setting up bank account

Do NOT wash sashes!! (SUE how do we clean them if we need to?)

Keep an eye out for chocolate eggs and invest if see them- can reimburse

If you have photos or videos please consider any favourites and send to team so can be uploaded to Facebook/Youtube etc.

è Will Youtube login info. Be shared so people can handle videos themselves- Ffion/Lindsey to decide

If you can’t make practice please inform Ffion at least 24 hours in advance of Monday practice to help her plan effectively. (Exceptions for illness, held on at work etc.)

E-mail Ffion/myself/BOTH if you want to go to DERT in any capacity preferable stating whether you would like to be considered for DERT team, Traditional Dance team, Musician or as a Spectator- by Sunday 16th November,  if not done so already

 

Irregular comers to practice - Zone 9ers: (we wanted to point out we still love you, and want you to come to everything you can!)

If you miss four consecutive practices (barring exceptional circumstances such as broken leg) you will  be considered a Zone 9er- see minutes ‘Country Members’ section for further details

Give at least 24 hours notice if you can make practice to allow Ffion to plan effectively

Name for signup now to found at bottom of signup sheet (to be actioned by Becky)

Return kit for communal use- to be taken by Kate

Use information re. bank accounts to choose appropriate bank for us to use

Once constitution approved use this to set up bank account

Once achieved this no mean feat:

Ensure all money has been paid into account from crawls

Report how much funds we have

Calculate how much people owe on subs

Calculate how much from York to be reimbursed

Get hard copy of Public Liability Insurance (from Rachel?)

Everyone to set up standing orders

Calculate what we can subsidise of DERT entry (once have numbers going and costs per person)

Create a list which can always be seen on Facebook of all our events for the coming year including dates of crawls

Further Lindsey’s research into hoodies and bring info to team so decision can be reached

Assemble a list of suitable tunes at differing abilities for guest musicians to refer to

Traditional Dance- Sinead + another + whole Trad team

Once know who is interested in taking part in and then leading the trad dance use Ffion’s research to decide which you would prefer to learn

Decide on Trad kit!? Who will make etc.

 

3. Lastly we want to buy new swords- is it my job to investigate this??? I know whatever happens we need to wait until the financials are sorted.
